Parts Inventory Controller

Job Purpose

Reporting to the Parts & Logistics Manager, this role sits at the centre of how Harris Group buys, holds and moves parts stock. You will be responsible for translating sales and stock data into procurement decisions so that the right parts are available at the right time while stock investment and obsolescence risk are kept under control.
You will work closely with the Parts and Logistics Manager to plan purchasing, monitor stock health, flag emerging gaps and manage excess.

This role is expected to grow and evolve over time and whilst the key responsibilities for the role are outlined below they are not limited to same:
Procurement & Purchasing
  • Source parts and place purchase orders with international and domestic suppliers, obtaining and evaluating quotes for price, lead time and quality.
  • Monitor all open purchase orders to ensure documentation is correct and quantities are aligned with recommended stock levels and reorder points.
  • Identify procurement gaps and stock-out risk ahead of time, and act to close them.
  • Arrange parts stock returns to suppliers, ensuring credit documentation is raised, actioned and reflected accurately in stock records.
Inventory & Stock Control
  • Operate and maintain the inventory control IT system (full training provided).
  • Ensure all documentation for incoming parts is correctly entered into stock records and reconciled against actual deliveries.
  • Support regular stock checks and the annual stock audit.
  • Process and maintain accurate SKU information and parts supersessions.
 
Data Analysis & Reporting
  • Analyse parts sales and stock movement data to identify trends and highlight risks in the procurement plan.
  • Build and maintain accurate and relevant reports for monthly board submission.
  • Identify pinch points, trends and anomalies in inventory and procurement data, and recommend corrective action to the Parts & Logistics Manager.
  • Report on key measures such as stock turn, fill rate and obsolescence exposure.
 
Customer & Supplier Service
  • Communicate with external and internal customers in a professional and competent manner, consistent with maximising customer satisfaction, encouraging repeat business and supporting profit growth.
  • In conjunction with other team members, deal with all queries in a proactive and professional manner.
Team & Warehouse Support
  • Assist in warehouse functions as required and offer general support to the wider Parts team.
 

Essential Knowledge, Skills & Experience

As the ideal candidate you will:
  • Hold a minimum of 2 years' experience, with a successful track record in an Automotive Parts Dealership, distributor or similar commercial parts environment.
  • Take pride in your ability to maximise the success of the Parts Distribution Centre while simultaneously delivering exceptional levels of professionalism and customer satisfaction.
  • Be focused on achieving goals; you will possess excellent interpersonal skills and be recognised as a self-motivated team player and target achiever.

 Essential Skills and Experience
  • Experienced in commercial parts, with proven ability to identify slow-moving and fast-moving lines and spot gaps in parts procurement.
  • Stock Controller experience is essential.
  • Purchasing / procurement experience is essential, including supplier sourcing, quoting and order placement.
  • Truck parts sales experience is preferable.
  • Strong Excel skills with the ability to analyse large datasets.
  • Strong analytical mindset, able to identify pinch points and trends within the data and turn them into procurement action.
  • Commercially savvy, with the ability to make sound commercial decisions.
  • Excellent oral and written communication skills.
  • Strong relationship builder and team player, including with suppliers.
  • Planning and organising skills.
  • Strong IT skills, ideally including inventory or dealer management systems.
  • Excellent accuracy and attention to detail.
  • Initiative and decisiveness.
  • Problem-solving skills.
  • A flexible and adaptable approach to work as shift patterns could change.
  • Strong focus on a positive customer experience.
  • Demonstrated ability to multitask and perform under pressure.

Working Hours: Core working hours are currently Monday to Thursday 8.30am to 5pm and Friday 8:30 – 4pm. This may change depending on business needs. Flexibility will be required where necessary.
